E-Academic Library

What is the E-Academic Library?

The E-Academic Library is a repository for important documents that enables us to meet our obligations under the Public Records Act (PRA) 2005 which requires us to keep and maintain full, accurate and accessible records. It contains two major library elements:

  • Academic Committees – contains agendas and minutes from all formally constituted Academic Committees
  • Academic Programmes – contains final versions of all Programme Documents (including course descriptors and programme regulations), their associated Approval Documents, key Quality Documents and Academic Contractual documents.

Unitec must always be delivering programmes in accordance with the latest approved version of the offering.  The latest version of the programme in the Programme Library is considered to be the definitive version and includes the current approved course descriptors and programme regulations.

Who has access?

All Unitec staff are able to read and withdraw (copy) documents from the E-Academic Library. Te Korowai Kahurangi (TKK) maintains the Library and keeps the documents up to date. Only TKK can make changes to the E-Academic Library.

The ‘ONE VERSION OF THE TRUTH’


In this folder, you will find current and archived Agendas and Minutes for all Academic Committees. These include: Academic Board, Quality Alignment Board, Programme Academic Quality Committees, Ako Ahimura, etc.

These are the approved versions of agendas and minutes, and should be regarded as the ‘ONE VERSION OF THE TRUTH’ and should not be duplicated anywhere else except as working preparation documents by Committee Secretaries.


 

In this folder, you will find dedicated Programme Folders which contain all of the important documents for your Programme including: Approvals and Accreditation documents, approved Programme Documents including Programme Regulations and Course Descriptors; Contracts and Agreements; Evaluation and Monitoring reports; etc.

This is the ‘ONE VERSION OF THE TRUTH’ for Programme Documents. Programme Documents should not be duplicated anywhere else expect when preparing proposed changes.

All active programmes are in named folders which include their PeopleSoft Academic Programme Code to assist you to find your programme information easily when using PSoft.

To save space and to make finding things easier there are other folders which group specific types of programmes together. These include:

  • _MROQ expiring programmes – contains all certificates and diplomas that have been subject to MROQ. These include all programmes which are currently active as well as those that are closed to enrolments. These will remain in this folder until they expire and have been deleted from Peoplesoft. Please note that Regulations for these programmes are located in a separate folder at the top of the structure.
  • _Withdrawn Programmes – contains programme folders for programmes that have been both permanently and temporarily withdrawn and may be completing student groups and/or re-activated in the future.

While we have tried very hard to ensure that the information in these folders is accurate, we are aware that there are some outstanding files still held in local drives. If you notice anything missing, please inform your AAQ who will update the E-Academic Library accordingly.
