Secondment Opportunity – OCE Operations Co-ordinator

We have an exciting opportunity for an OCE – Operations Co-ordinator to join the Te Pūkenga National Office team in support of our Office of the Chief Executive directorate. OCE – Operations Co-ordinator 1.0 (FTE)

Reports to: Governance Director
Term: Fixed-term contract (end date 28 November 2025)
FTE: 1.0 (40 hours) Kaupapa | Purpose

The Operations Coordinator is responsible for the efficient and effective coordination of administrative functions across the directorates of the Office of the Chief Executive.

In particular, the role will provide proactive, professional, high quality administrative support to the Council Secretariat team; and active project management support to the Vocational Education and Training (VET) Future State programme.

This role’s responsibilities include:

  • Provide project management support to the VET Future State programme team, in particular the Āpōpō project team.
  • Support the Rangahau and Research directorate with maintaining an engagement log with internal and external stakeholder regarding VET future state programme and the Āpōpō project; including coordinating engagement activities.
  • Follow up on all Academic Board material submission deadlines with contributors and collate material into software.
  • Manage interest registers, action registers, and decision registers. Ensure that all Academic Board (and its subcommittees) documentation is filed appropriately.
  • Maintain accurate information about the VET Future State programme and upcoming Governance meetings on Te Whare (intranet) and/or Te Pūkenga website and manage other uploads and minor amendments to these platforms.
  • Provide appropriate information to internal and external customers that are either interested and/or involved in governance meetings.
  • Provide administrative and coordination support across the Office of the Chief Executive as required.

To be successful in this role, you will have/be:

  • Experience in a Project Management support role, and experience providing coordination and administrative support across various functions and levels of an organisation.
  • Highly organised with great attention to detail, as well as strong written and verbal communication.
  • High degree of computer literacy, including advanced knowledge of the Microsoft Office and Adobe suite, and ideally previous experience with one or more of either: a project management platform, a Board software package, or Silverstripe (website management software).
