Key Information for Open Day Volunteers – Staff Briefing | Roles

All the information you will need for Open Day – including the roles which have been assigned to our registered volunteers is included in this email.

Here are some key details you’ll need to know:

Assigned Roles:

Please review the Excel Sheet to find the roles assigned to each of you who expressed interest in volunteering for Open Day.

Volunteer Briefing:

Please review the Staff Briefing for a detailed breakdown and important information. On Saturday, August 31, there will be a brief volunteer meeting from 9:00 AM to 9:15 AM at each of the campuses. This session will outline your roles and provide essential details for the day.


Provisions: Unitec T-shirts, & Lunch

  • Unitec T-shirts:
    If you requested a Unitec T-shirt during registration, you could pick it up at the “Ask Me” desk on Friday, 30 August, between 12:00 PM and 6:00 PM, or on Saturday, 31 August, between 7:30 AM and 9:30 AM.
  • Lunch:
    Lunch will be provided to all volunteers on the event day, starting at 11:30 AM. You will receive a 30-minute break on a rolling schedule. 

    Lunchrooms:
    Te Puna: Room 180-2044
    Waitākere Campus: Room 510-1037
  • Waitākere Campus Staff:
    Volunteers helping at the Waitākere Campus can collect their T-shirts from the registration desk at Waitākere Campus before the event begins on Saturday.
  • Water Stations:
    Water fountains are conveniently located throughout Te Puna. Please bring your water bottle to stay hydrated.

 

Setup, Arrival, Pack Down:

  • Friday Set-up: From 12 pm to 6 pm on Friday, 30 August, schools can set up their stalls and spaces. You may bring additional materials, activations, or student project models.
  • Saturday, 31 August, Set-up: Those unable to complete their setup on Friday can do so on Saturday between 7 am and 9 am. We strongly encourage completing your setup on Friday to avoid the last-minute rush hour on Saturday.
  • Arrival for all staff: 9am – Saturday, 31 August
  • Pack Down: After the event concludes at 2pm, we kindly request everyone to help pack down their designated areas, ensuring a smooth transition back to the original layout of Te Puna. This will facilitate business as usual on Monday.
