Offsite Storage of Records

In March 2011 Unitec engaged the services of TIMG (formerly Online Security Services Limited) to provide offsite records storage. The contract between Unitec and our offsite storage provider is managed by the Manager, Information & Policy. TIMG is also the same company that provides Unitec with the blue confidential destruction bins.

TIMG is the only company Unitec should be using to store records offsite.

 

How do I send records offsite?

The only records that can be sent to offsite storage are those that Unitec is required to keep (either legally or for a genuine business need) for a period of 2 years or more. This is further explained in the Transferring and Retrieving Records from Unitec’s Offsite Storage Provider Procedure. This procedure also outlines how Faculties/Departments/Directorates/Service Units can be set-up to transfer eligible records offsite and how these records will need to be arranged before they will be picked up by the offsite storage provider.

 

Who pays for this offsite storage service?

Currently the cost of transfer, storage and retrieval of records to/from our offsite storage provider is covered by Information and Policy.
